Creating an event schedule

Event organizers on Race Roster have the ability to create and publish an event day schedule. This tool is specifically designed to display important programming along a visual timeline, helping communicate key moments such as check-in times, wave/distance starts, ceremonies, and cut-off times. It's a great way to let participants, spectators, staff and even volunteers know what to expect on event day.

Once created, the event day schedule is displayed on the public event details page and within the participant dashboard, providing a single source of truth for event-day information.

Learn how to create and manage an event day schedule by following the steps below.

 

1. Log in to your Race Roster event dashboard.

 

2. Navigate to the "Schedule" feature from the left hand sidebar. Go to Add Ons → Schedule. Screenshot follows.

3. Click the green "+ Add activity" to begin creating a schedule and input the first item from programming. Screenshot follows.

4. Enter an activity name, date and exact time. Please note that the timezone will match that within the event info settings. Screenshot follows.

5. Repeat steps 3 and 4 to continue adding activities for each important programmed item on event day.

 

6. Once saved, the event schedule will appear in the centre of the event page. The position of the widget can be reordered under event page settings (learn how from our other article). Screenshot follows.

The schedule is also listed under the "Event info" tab on the participant dashboard.

Tips

  • New activities can be added to the schedule out of chronological order. They will reorder earliest to latest upon saving.
  • The schedule tool can support events taking place over more than one day. All dates will display accordingly.
