# ChronoTrack participant sync setup guide
This guide is for timers who want to connect ChronoTrack Live to a Race Roster event. You will learn how to link your ChronoTrack account, map sub-events to ChronoTrack races, choose which participant data to export, push participants, and check sync activity in Race Roster Timer Dashboard.

### What ChronoTrack sync does
ChronoTrack sync pushes participant entry data from Timer Dashboard into a linked ChronoTrack Live event.
- Connect your Race Roster event to a ChronoTrack Live event.
- Map each Race Roster sub-event to a ChronoTrack race.
- Push active participants (and updates) into ChronoTrack.
- Apply removals and bib changes when a sync runs.
- Review progress and errors in Sync activity.
- Optional: turn on auto-push so updates keep flowing until your chosen end time.
Scoring, chip reads, and live results stay in ChronoTrack Live. This guide covers getting the right people into ChronoTrack so timing can run.

### Before you start
Make sure you have:
- A timing company set up in Race Roster, with the ChronoTrack integration available for that company
- Access to Timer Dashboard
- Timer access to the event, with your timing company added to the event (otherwise the ChronoTrack tab will not show)
- A ChronoTrack Live account with the event and races configured to match the Race Roster event
- Recommended: bib numbers assigned before your final race-weekend push
Optional: turn on **Include participants without an assigned bib** if you need bibless entries in ChronoTrack early. By default, Race Roster focuses on participants who already have bibs.

### Connect to ChronoTrack Live
1. Sign in to Timer Dashboard.
2. From the list of events you can access, open the event you want to work with. Confirm your timing company is added to the event, by going to the **Results tab \> Event settings \> Timing crew**
Open ChronoTrack in one of these ways:
- Open the event → **Results** → **ChronoTrack** tab
- From the event list → ellipsis (⋮) → **ChronoTrack**
You should see the ChronoTrack integration page for that event.

### How the page is organized
The ChronoTrack page has a few main parts:
1. **Integration** - ChronoTrack event connection and disconnect
2. **Participant data**
- Sub-event mapping (required)
- Participants (fields + bibless option)
- Custom questions
- Products
3. **Sync activity** - history, progress, and errors
4. **Save and export** - sticky action at the bottom of the page
**Tip:** When the integration is connected, Race Roster is the source of truth. Changes you make in Race Roster overwrite matching participant data in ChronoTrack Live on the next sync.

### Step-by-step setup
### Step 1: Connect your ChronoTrack account
If no ChronoTrack account is connected yet:
1. Choose **Connect ChronoTrack account** (wording may vary slightly).
2. Authorize Race Roster in ChronoTrack (OAuth).
3. Confirm you return to the ChronoTrack integration page in Timer Dashboard.
Your ChronoTrack login is stored at the timer company account level. You only need to connect it once, then you can reuse it on other events.

### Step 2: Choose the ChronoTrack event
1. Search for your ChronoTrack event, or enter the ChronoTrack Event ID.
2. Double-check the event name and year before you continue.
3. Save the connection.
Pick carefully. Once the event is linked, treat that ChronoTrack Event ID as locked for this Race Roster event.

### Step 3: Map sub-events
Sub-event mapping is required before you can export.
1. Open **Sub-event mapping**.
2. Keep the Race Roster sub-events you want to export (or clear the list and add only the ones you need).
3. For each selected sub-event, choose the matching ChronoTrack race.
4. If you added a race in ChronoTrack after you connected, click **Refresh ChronoTrack races**, then map it.
Bundle participants already sit in their sub-events. You do not map bundle rows separately.

### Step 4: Choose participant fields, questions, and products
1. Open **Participants**.
2. Review the required fields (first name, last name, and the mapped race). Required fields always export.
3. Tick any optional fields you want ChronoTrack to receive (for example email, date of birth, age, gender, address, or bib).
4. Optional: turn on **Include participants without an assigned bib**.
5. Open **Custom questions** and tick any registration answers to include.
6. Open **Products** and tick any product lines to include (for example merchandise).
Check the exportable participant count banner before you push. It tells you how many participants are ready to export with your current settings.

### Step 5: Save and export
1. Click **Save and export** in the sticky footer at the bottom of the page.
2. Wait for the sync job to start.
3. Watch Sync activity for progress.
When a sync runs, Race Roster:
- Creates new ChronoTrack entries for new participants
- Updates existing entries when details change
- Applies removals and bib changes as needed
You do not need to pick which of those actions to run. Race Roster applies all of them so bib conflicts are less likely after transfers or reassignments.

### Step 6: Check Sync activity
Open **Sync activity** after each push.
- Confirm the latest job finished.
- Check whether it was a manual push or auto-push.
- If you see failures, open **View errors**.
- Fix the listed participants in Race Roster (for example change a non-numeric bib), then push again.
A job can finish as **completed with errors**. That means most participants synced, but some rows failed. Fix those rows and sync again.

### Auto-push
Turn on auto-push when you want Race Roster to keep ChronoTrack updated before race day.
1. Set auto-push on for the event.
2. Choose an **End after** time in the **event timezone** (not your laptop timezone).
3. Confirm a test sync has already worked with your mappings.
**Tip: For very large events (tens of thousands of participants), prefer a planned manual full push.** ChronoTrack can take a long time to process big imports. Frequent auto-pushes may queue up instead of staying timely.

### Race day best practices
- Run one test sync before race weekend so the first live sync is not on race morning.
- Assign bibs (and finish sub-event moves) before your final push.
- Push again after late registrations, bib changes, or sub-event switches.
- Spot-check a few athletes in ChronoTrack Live after each major push.
- Use Sync activity timestamps to confirm the last successful sync.
- On large events, wait for ChronoTrack to finish processing one full push before starting another.

2. Correct ChronoTrack Event ID for this year
3. Every exported sub-event mapped
4. Test participant sync and spot-check a few entries in ChronoTrack

### Troubleshooting
| **If this happens…** | **Try this** |
| --- | --- |
| You cannot connect | Confirm the ChronoTrack account can open the event in ChronoTrack Live. Retry the authorize flow. |
| No events appear in search | Check that you connected the correct ChronoTrack account and that the event exists under that login. |
| Race dropdowns are empty | Confirm the ChronoTrack Event ID first. Races load from that event. Click Refresh ChronoTrack races. |
| Almost no participants exported | Check sub-event mapping and bibs. Read the exportable count banner. Turn on bibless export if you need participants without bibs. |
| Sync failed or timed out on a large event | Use a manual sync. Wait for ChronoTrack to finish processing before starting another full push. |
| Completed with errors | Open View errors. Fix the listed participants (often bib format. ChronoTrack needs numeric bibs), then re-sync. |
| Auto-push stopped earlier than expected | Check the End after time against the **event** timezone, not your local laptop timezone. |
| You do not see ChronoTrack for the event | Confirm your timing company is added to the event, ChronoTrack is enabled for that company, and your login has access in Timer Dashboard. Ask Race Roster support to check if needed. |
